DigiAccountantLekha is the computerised Double-Entry
Accounting System as well as Inventory and Remueration
Management System..
It keeps record of all Business-Transactions.
Shows various reports - Ledgers, Trial Balance, Profit & Loss
Account, Balance Sheet, Stock ...
Can maintain infinite number of firms accounting.
Supports Unicode fonts for entry and report.
Power user can use keyboard to do fast entry.

New Business:
First create busines from Business menu :
Business->New

- Business Name, Financial year, User Name are mandetory.
- Set Start date of financial year in Financial Year.
- Change currency symbol as per your requirement.
- Select proper date format between DMY, MDY, YMD.
- Set Logo of company to print on various reports.
- Experiment Rounding methods in - Round Figure - Help menu.
Save to create new Business books.
Open Business:
Select Business from
Business->Open

- Click on name of the business from list.
- Type user name and password (both are case sensitive)
- Click on SELECT button.
- To Delete business, select business, press
Ctrl+Shift+Alt+Del at a time. Business should not open before to
delete, otherwise you should delete folder from Dat diretory of
installation folder manually.
To Close Business:
To Close already opend Business, click on
Business ->Close
To Edit Business Data:
first open business by clicking
Business->Open
then
Business->Edit Business Data

You can not change password here.
to save changes click on SAVE button.
To create New Financial Year:
click on
Business->New Financial Year

You can set new Financial Year here.
To Switch to Previous Financial Year:
click on
Business->Switch to Previous
Financial Year

Select year from list and press Set Current button.
Can change any date of Financial Year by double clicking on it.
To delete Financial Year select it and press Delete button.
To create, edit, delete Users:
click on
Business->Users

Type User Name
Type Password, same password must be repeat in Repeat PW box.
Type Details about user if any.
Grant various permissions to user on Ledgers and Inventory Items:
-Can Create means user can Create Ledgers and
Inventory Items.
-Can Edit means user can Edit Ledgers and Inventory
Items.
-Can Delete means user can Delete Ledgers and
Inventory Items.
Grant various permissions to user on Accounting and Inventory
Transactions:
-Can Create means user can Create Accounting and
Inventory Transactions:
-Can Edit means user can Edit Accounting and
Inventory Transactions:
-Can Delete means user can Delete Accounting and
Inventory Transactions:
-Can See UA Track Reports means user has right to
see other users activities, like editing, deletion of Ledgers, Items,
Transactions etc.
Also edit or delete users from list.
To delete user select it from list and press DELETE button.
To edit user select it from list and press EDIT button.
To Change Password:
click on
Business-> Change Password

Current logged user can change own password. Type old password, then
type new password and retype new password and click on SAVE to change.
To Back Up business data:
click on
Business->Back Up

Select Business from list. Click on BACKUP buttton. Select
Folder/Directory to store Backup.
To take compressed backup tick on Compressed Backup also.
To Restore, backuped data:
click on
Business->Restore

Give password for compress backup if any taken before.
Click on RESTORE button, select folder of backup or compressed file of
backup.
To Exit for DigiAccountantLekha:
click on
Business->Exit
To make Journal Entry:
click on
Account Entry->Journal Entry or
press F5 key

Transaction Date is required.
Transaction Number is optional.
If centerwise tracking of income, expenses is required then tickmark
Center.
Click AC Lst to refresh Account list.
To get error messages tick Show Errors.
Press enter in DR or CR box to get account list, select account name by
typing or scrolling, press enter.
Type debit, credit amount, narration.
Click on SAVE.
Sr.No. and Today's Date are auto generated.
To Create, Edit, Delete LedgerAccounts:
click on
Account Entry->LedgerAccount

Type Account Name (Ledger Name), Details of Account.
Select proper group of accounts.
Type Opening Balance if any, select opeing balance type Debit or Credit.
Save it.
To Edit Account: Select account from list, Click on Edit button.
To Delete Account: Select account from list, Click on Delete button.
To create, edit, delete Centers:
click on
Account Entry->Centers

Centers are useful to track centerwise allocation of income and
expenses.
Type center name and details (if any) to create new center.
To Edit center: click on center name from list, click Edit.
To Delete center: click on center name from list, click Delete.
To make Inventory Entry:
click on
Inventory Entry->Inventory Entry

Can create Inventory entries like Sales, Purchases, Sales Return,
Purchase Return.
Select entry type Ledger, Party Name.
Can turn on or off Store/Godown, Batch No., Center as required.
To print receipt on save turn on Print Invoice, Print POS Rec. as
required.
Free Qty., Discount, Tax Accout are optional.
Discount can be in percentage or direct amount. Turn off tick before %
to give direct amount.
Auto creates ledger posting.
Taxes and Expenses can enter by clicking on +Tax.,Exp. button.
Cash Received/Paid can enter by clicking on +Cash, Bank button.
To create, edit, delete Stock Groups
click on
Inventory Entry->Stock Groups:

To create stock group type Group Name, select Main Group, type
Details click save.
Can create Group1, Group2, Group3.
eg. Item footware can be classified as :
Gropu1: Children, Ladies, Gents
Group2: Leather, Canvas, Plastic
Group3: Sandle, Shoes, Chappal
To create, edit, delete Stock Units
click on
Inventory Entry->Units

To create stock unit type Unit Name, Symbol click on Save.
Mix unit supported eg. 1000 gm = 1kg.
To edit : select Unit from list click on Edit.
To delete : select Unit from list click on Delete.
To create, edit, delete Stock Items :
click on
Inventory Entry->Stock Items

To create Stock item type Item Name (required), select proper Unit, all
other are optional.
Select group1,2,3 as requried.
Type opening quantity if any available and rate, you can specify Store,
Batch details of opeing quantity on clicking Store/Godown, Batch Number.
To edit select Item Name from list and click Edit button.
To delete select Item Name from list and click Delete button.
To Calculate Closing Stock Qty:
click on
Inventory Entry->Calculate Closing Stock Qty
if Closing Stock qty not get correctly, while doing inventory entry,
then click on it to recalculate.
To create, edit, delete Store/Godown:
click on
Inventory Entry->Store/Godown

To create store/godown type store name, type details and click on save.
To edit store, select it from list, click on Edit button.
To delete store, select it from list, click on Delete button.
To create Inventory Transfer entries:
click on
Inventory Entry->Inventory Transfer

To transfer stock item from one store/godown to another, create
transfer entry:
Type voucher No. if any, Date of transaction,
Item name, qty, Store/Godown Out, Store/Godown In, Batch Number (if any)
Store/Godown Out means, store from which stock items picked up.
Store/Godown In means, store in which stock items put down.
To edit, delete Journal Entries /
Transactions:
click on
Edit->Journal Entries /
Transactions

Type date range in which you want to change entries.
Select entry and click on Edit button to edit.
Select entry and click on Delete button to Delete.
To change Font:
click on
Edit-Font

Select font for entries and report. Unicode supported. Using Input
Method Editor you can type in your language.
(It will take a while to load all fonts.)
To edit,delete Inventory Transfer
entries:
click on
Edit->Inventory Transfer Entries

Shows all entries within given date range,
Select entry and click on Edit button to edit.
Select entry and click on Delete button to delete.
To edit Stock Valuation Methods:
click on
Edit->Stock Valuation Methods

Select method and click Save.
To Create/Alter/Delete Employee :
click on
Remuneration->Employee
Employee Name is necessary.
Select employee from list to Edit of Delete.

To Create/Alter/Delete Remuneration Heads :
click on
Remuneration->Head
Select Head from list to Edit of Delete.

To Create/Alter/Delete Work Unit for Remuneration:
click on
Remuneration->Work Unit
Select Work Unit from list to Edit of Delete.

To Create Remuneration Details for Employee:
Click on
Remuneration -> Remuneration Details
Select Remuneration heads from Earnings/Deductions press Add button.
If you want to assign formula to head, Select head from Earnings/Deductions list and press Exp. button.
Create formula for head using Expression window.
Select Employee to Edit/Delete from list of Employees.

To
Calculate Remuneration of Employee's:
Click on
Remuneration -> Calculate Remuneration
Type Date Range, Select Employees, press CALCULATE button.
Type Paid Date in upper right box then press Enter. (Enter is must)
Unit value colum must be filled with values to calculate remuneration.
To update Paid Date, Unit , Unit Value , Designation double clik in appropriate column and type values then press Update button.
To edit previous calculation, select employee to edit, select Recalculate, press Calculate.

To print List of Employees:
click on
Remuneration->List of Employees
This report shows List of Employees sorted on either Employee Name or Designation.
Designation Selection is must.


Click print button to print report.
To Print Remuneration:
click on

Remuneration->Print Remuneration
Select Date Range first, then
Select Employees
Press Show Report


Click print button to print report.
To Print Head:
click on
-
Remuneration->Print Head


Click print button to print report.
To Print Work Unit:
click on
-
Remuneration->Print Work Unit


Click print button to print report.
To Print RemunerationDetails:
click on

Remuneration->Print RemunerationDetails
Shows/Prints Remuneration details of employees, either Employee Namewise or Designationwise.
Select Designation and Employees from lists.
Press Show Report.


Click print button to print report.
To print Invoice:
click on
Reports->Invoice

Select
Print Invoice, Print POS Invoice.
Type Invoice Serial Number
or
Select type of invoice Sales, Purchases, Sales Return or Purchases
Return.
Then select from list and click Print Invoice button. (Type zero in
Invoice Serial Number box to print invoice selected from list.)
You can mark/unmark paid/unpaid invoices from list.
POS Invoice (Point of Sale)


Click print button to print report.

Regular Invoice

Click print button to print report.
To see/print Sales, Purchases Register:
click on
Reports->Sale, Purchase, Goods
Return register

Select Type Sales, Purchases, Sales Return, Purchases Return.
Type Date Range
click on Show Report button.

Click print button to print report.

To see/print, mark/unmark Pending Bills
click on
Reports->Pending Bills

Select type of bill :- Sales, Purchases, Sales Return, Purchases Return.
Select Sorting type : None, Ascending, Descending.
Enter date range.
On clicking Paid button, you can mark bill as paid,
On clicking Unpaid button, you can mark bill as unpaid
Click Show Report to see/print it.

Click print button to print report.

To see/print Balance of Ledger Account:
click on
Reports->Balance of Ledger Account

Select Ledger Account from list. Enter date range, Click on Show Report.


Click print button to print report.
To see/print Journal Entries:
click on
Reports->Journal Entries

Type date range, Select Center or All Entries. Click on Show Report.


Click print button to print report.
To see/print Centerwise Income,
Expenses:
click on
Reports->Centerwise Income,
Expenses

Type date range, select center, click on Show Report.


Click print button to print report.
To see/print Inventory Transfer:
click on
Reports->Inventory Transfer

Type date range click on Get Entries Button, Select sorting type, click
on Show Report.


Click print button to print report.
To see/print list of Ledger Accounts:
click on
Reports->Ledger Accounts

Select Sorting method, Click on Show Report to see list of all ledger
accounts.


Click print button to print report.
To see/print list of Ledger Groups:
click on
Reports->Ledger Groups
Select Sorting method, Click on Show Report to see list of all ledger
groups.
To see/print list of Stock Items:
click on
Reports->Stock Items

Click "All items from all groups" to get list of all stock items.
Otherwise you can specify group 1,2,3 as per your requirement to get
list.
Select Sort method, Costing method.
Tick required options, to show in report.
To refresh item list click on "Show Item List" button.
Click on Show Report button.


Click print button to print report.
To see/print list of Stock Groups:
click on
Reports->Stock Groups
Select sort method and click on Show Report button.

Select Group level, sort method, click on Show Report button.


Click print button to print report.
To see/print list of Stock Units:
click on
Reports->Units
Select sort method and click on Show Report button.

Click print button to print report.
To see/print list of Stores:
click on
Reports->Stores
Select sort method and click on Show Report button.

Click print button to print report.
To see/print list of Storewise Stock
Items:
click on
Reports->Storewise Stock Items

Select Group 1,2,3
Select Items in random order Ctrl+click or
Select items in sequence Shift+click.
Select Stores/Godowns (Ctrl+clik or Shift+click).
To refresh Item's List click on "Show Item List" button.
Select sort method, various options and click on Show Report button.


Click print button to print report.
To see/print list of Centers:
click on
Reports->Centers
Select sort method and click on Show Report button.
To see/print list of Users:
click on
Reports->Users
To see/print list of Trial Balance:
click on
Reports->Trial Balance
Type date range and click on Show Report button.


Click print button to print report.
To see/print Trading, Profit &
Loss Account:
click on
Reports->Trading, Profit &
Loss Account
Type date range,
select among Trading A/c or Profit & Loss Account or Both.
click on Show Report button.


Click print button to print report.
To see/print Balance Sheet:
click on
Reports->Balance Sheet
Type date range,
click on Show Report button.


Click print button to print report.
To see/print track of Ledger Accounts:
click on
Track UA->Ledger Accounts
Type Ledger Accounts Serial Number to see changes of that account.
Type 0 (zero) to see all entries in given date range.
Select Edited only, Deleted only or Both as required.

Click print button to print report.
To see/print track of Centers:
click on
Track UA->Centers
Type Centers Serial Number to see changes of that Center.
Type 0 (zero) to see all entries in given date range.
Select Edited only, Deleted only or Both as required.

Click print button to print report.
To see/print track of Journal Entries:
click on
Track UA->Journal Entries
Type Serial Number to see changes of that Journal Entry.
Type 0 (zero) to see all entries in given date range.
Select Edited only, Deleted only or Both as required.

Click print button to print report.
To see/print track of Inventory
Transfer:
click on
Track UA->Inventory Transfer
Type Serial Number to see changes of that Inventory Transfer.
Type 0 (zero) to see all entries in given date range.
Select Edited only, Deleted only or Both as required.

Click print button to print report.
To see/print track of Stock Items:
click on
Track UA->Stock Items
Type Serial Number to see changes of that Stock Item.
Type 0 (zero) to see all entries in given date range.
Select Edited only, Deleted only or Both as required.

Click print button to print report.
To see/print track of Stock Groups:
click on

Type Serial Number to see changes of that Stock Group.
Type 0 (zero) to see all entries in given date range.
